Stakeholder Relationship Management database

EUROCONTROL protects your personal data in accordance with the EUROCONTROL Regulation on Personal Data Protection adopted by the Permanent Commission and published in 2024.

1. What is the Stakeholder Relationship Management database? Why do we collect, store and process your data?

We maintain a database of stakeholders and EUROCONTROL staff contact information. The personal data is collected in order to send you information and documentation concerning meetings or events organised by EUROCONTROL, as well as relevant updates in the form of newsletters or publication alerts. These information is also used to grant you access to EUROCONTROL’s premises when you attend an event.

The database also contains information (see point 4 below) obtained from you at meetings taking place at EUROCONTROL’s premises, on visits to your organisation, or at other events in which EUROCONTROL is involved.

We process your personal data on the basis of your consent.

2. What data do we collect, store and process about you?

The personal data we collect is divided into the following subsets:

  • Corporate profile: including Title, Name, Job Title, Function, Company Name, Company Department, Email, Work Phone, Work Address (street, zip code, city, country), the list of meetings or events in which you are participating or have participated, the meeting reports and your private address if you have provided it to receive our hard copy publications.
  • Corporate profile fields as well as your nationality, date of birth, alternative email addresses, and your private phone number if you have provided it to us.
  • The database has an add-on tool with which we are able to create mailing campaigns with a possibility to track if the mail has arrived and been opened at its destination. Tracking data is kept and used solely for statistical purposes to establish the usefulness of a mailing. It is used in an aggregated and anonymised manner. The aim is to identify the information which is of most interest to users.

Should you request us to verify that our system works correctly and that email sent arrive at destination, we might access your individual tracking data.

3. Who is your data disclosed to? Who has access to your data?

Access to your personal data is provided to EUROCONTROL staff and contractors responsible for delivering our service to you according to the “need to know” principle. Such staff abide by statutory, and when required, additional confidentiality agreements (see further section 7). In particular, these include:

  • Meeting secretariats and stakeholder relations assistants who keep distribution lists up-to-date will have full access to the database.
  • All EUROCONTROL staff or contractors who need to contact you for professional reasons, to invite you to events or to inform you about relevant news will have access to the corporate profile only.
  • EUROCONTROL staff and contractors, security staff (DP/CSS) and authorised contracted security guards that need to process your information to grant you access to our premises will have access to your personal data on a need-to-know basis, namely: first and last name, company, date of birth and nationality. These staff and contractors abide by statutory regulations.

4. How long is your data kept?

Personal data collected in the framework of meetings, events and subscriptions, is kept until we are informed that your professional position has changed or if you unsubscribe from our services (see section 6). The data is then archived and kept for 1 year in the form of back-up in case it needs to be activated again.

Personal data processed for the purpose of security and access to EUROCONTROL’s premises is retained for a maximum period of 5 years, for the purpose of protecting specific EUROCONTROL interests (e.g. in the case of events leading to contentious issues).

5. What are your rights under the EUROCONTROL Data Protection Regulation?

You have the right to access, rectify, complete and update your data option by contacting
[email protected].You have the right to object to the use of your personal data in some circumstances. You may also delete your personal information. You have the right to request additional information about the handling of your personal data by contacting [email protected].

7. What do we do to avoid misuse or unauthorised access to data concerning you?

EUROCONTROL is committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, EUROCONTROL has put in place the appropriate physical, electronic and managerial procedures to safeguard and secure the information collected online.

Staff and contractors handling your data are bound by confidentiality obligations.

8. What safeguards do we apply when we transfer your data to third parties?

We will not, under any circumstances, share with or sell your personal information to any third party for marketing purposes, and you will not receive offers from other companies or organisations as a result of giving your details to us.

We may also share your personal information where you ask us to or explicitly consent to it, for example to create participants’ lists for networking purposes or where we make a referral to another organisation.

In the case of data transfers EUROCONTROL requires adequate safeguards from recipients through specific contractual terms and conditions.
